Standard Operating Procedures

Pre-Event Checklist (All Roles)
Review your role assignment and shift time
Arrive 30 minutes before shift at Volunteer HQ (Room 520)
Collect badge, radio, and any role-specific materials
Attend the pre-shift briefing
Confirm radio channel and test communication
Review emergency procedures and evacuation routes
Registration Volunteers (80 per day)

Location: Level 2, Viger Hall

Primary Responsibilities:

  • Verify delegate credentials using the registration system
  • Issue convention badges and materials packages
  • Direct delegates to appropriate lanes (pre-registered vs. walk-in)
  • Handle credential issues and escalate to supervisor
  • Maintain queue management and flow

Step-by-Step Process:

  1. Greet delegate and ask for government-issued ID
  2. Search for delegate in registration system by name or membership number
  3. Verify photo matches ID and confirm membership status
  4. Print badge and affix credential sticker
  5. Provide materials package and convention guide
  6. Direct to coat check or main hall as appropriate

Common Issues & Solutions:

  • Name not found: Check alternate spellings, ask for membership card, escalate to supervisor
  • Credential dispute: Direct to Credentials Committee desk (Table 10)
  • System down: Switch to paper backup lists, notify Tech Support immediately
Wayfinding Volunteers (50 per day)

Location: All Levels - Strategic Points

Primary Responsibilities:

  • Direct delegates to sessions, rooms, and facilities
  • Maintain awareness of schedule changes
  • Assist delegates with accessibility needs
  • Report crowd flow issues to command center

Key Locations:

  • Main entrance (Level 1) - 8 volunteers
  • Escalator access points - 12 volunteers
  • Level 5 Plenary corridor - 10 volunteers
  • Level 7 event spaces - 8 volunteers
  • Elevator banks - 6 volunteers
  • Roaming positions - 6 volunteers

Remember: Always carry a venue map and current schedule. When unsure, radio for assistance rather than guessing.

Plenary Ushers (45 per day)

Location: Level 5 - Plenary Hall (517a-d)

Primary Responsibilities:

  • Manage entry and exit flow during sessions
  • Ensure seating sections are filled efficiently
  • Maintain quiet during speeches and votes
  • Assist with microphone runners during Q&A
  • Coordinate with security for VIP movements

Seating Zones:

  • Zone A (Front): VIP, National Executive, Media
  • Zone B (Middle): Provincial delegations (assigned)
  • Zone C (Rear): General seating, overflow
  • Accessibility seating: Front rows, aisle access

During Leader's Address: No entry/exit permitted. All doors sealed 15 minutes prior. Emergency exits only.

Voting Hub Liaisons (35 per day)

Location: Level 5 - Voting Area

Primary Responsibilities:

  • Verify voting credentials before entry
  • Explain voting procedures to delegates
  • Maintain ballot secrecy and integrity
  • Direct completed voters to exit
  • Report any irregularities to Elections Officer

Credential Verification:

  1. Check badge has voting credential sticker
  2. Verify delegate has not already voted (check mark on list)
  3. Mark delegate as voted on master list
  4. Direct to available voting station

CRITICAL: Any credential disputes must be escalated to the Elections Officer (EXT 707) immediately. Never make judgment calls on voting eligibility.

LP Boutique Attendants (25 per day)

Location: Level 2 - Boutique Area

Primary Responsibilities:

  • Assist customers with merchandise selection
  • Process sales (cash, credit, debit)
  • Maintain inventory and restock displays
  • Handle returns and exchanges per policy

Payment Processing:

  • All sales final on personalized items
  • Receipt required for all exchanges
  • Cash handling: Count drawer at shift start/end
  • Large bills ($100+): Supervisor verification required
LC Lounge Attendants (25 per day)

Location: Level 7 - Laurier Club Lounge

Primary Responsibilities:

  • Welcome Laurier Club members and verify membership
  • Maintain lounge hospitality and refreshments
  • Coordinate with catering for replenishment
  • Ensure exclusive access is maintained

Access Control:

  • Check for LC badge or membership verification
  • Guest passes limited to 1 per member
  • Capacity limit: 150 persons
  • No photography without permission
Security Support (25 per day)

Location: All Access Points

Primary Responsibilities:

  • Monitor access points and verify credentials
  • Report suspicious activity immediately
  • Assist professional security team as directed
  • Maintain crowd control during high-traffic periods

EMERGENCY PROTOCOL:
1. Do NOT confront threats directly
2. Radio Security Command (EXT 100) immediately
3. Note description, location, direction of movement
4. Guide delegates away from situation calmly

Radio Codes:

  • Code Green: All clear
  • Code Yellow: Attention needed, non-emergency
  • Code Red: Emergency, immediate response
  • Code Blue: Medical emergency
Tech Support (15 per day)

Location: AV Booth / Roaming

Primary Responsibilities:

  • Support AV equipment in breakout rooms
  • Troubleshoot presentation issues
  • Assist with WiFi and connectivity problems
  • Coordinate with venue AV team

Common Issues:

  • Projector not working: Check input source, cable connections, power
  • No sound: Verify mixer levels, microphone batteries, speaker power
  • WiFi issues: Provide backup network credentials, escalate to venue IT
  • Laptop compatibility: Keep adapters for HDMI, USB-C, DisplayPort ready
End-of-Shift Protocol (All Roles)
Complete handover briefing with replacement volunteer
Return radio and any equipment to Volunteer HQ
Sign out on shift log
Report any incidents or issues to supervisor
Collect meal voucher if applicable
